Your organisation
Teloneum is used by companies. Whoever creates an account with Try it names their company and its first project, and owns its space: an organisation. Everyone else joins it through an invitation.
| Role | What they can do |
|---|---|
| Owner | Everything an administrator can, and they alone make other owners. The one who created the organisation is the first; an organisation always keeps at least one owner. |
| Administrator | Create projects, invite people, choose who is in each project and who administers it, choose the providers and models each project may use. They can work in every project. |
| Project administrator | For the projects they administer: choose who is in them, among the organisation’s people. The models of a project are chosen by the organisation’s owners and administrators. |
| Member | Chat in the projects they are in. |
Everyone who manages something finds Management in the menu of their name, at the bottom of the chat sidebar. On a computer it opens in a window over the chat, with its sections
- Projects, Model catalogue, People - in a menu on the left; on a phone it opens a menu of those sections, each opening a screen of its own; the back arrow returns to the menu.
Projects
Section titled “Projects”A project is where conversations happen. Your organisation starts with the one you named when you created it, and always keeps at least one; none is special.
A new project offers no model. Until an owner or administrator of the organisation chooses the providers it may use, nobody can chat in it - the chat says No model in … yet, with the project’s name. This is so that your company decides, project by project, which providers its data may go to. Once a provider is chosen for a project, all its models are available there, including those it adds later; each can still be turned off on its own. Members only ever see the models of their project.
In Management, under Projects:
- New project creates one (administrators only);
- the pencil renames it;
- the bin deletes it (owners and administrators of the organisation only), as long as another project remains: its people leave it, and its conversations are no longer reached;
- the list of its people (3 people, for instance) unfolds to show everyone who works in it: the owners and administrators of the organisation first - they work in every project, so they are neither added nor taken out - then the people added to it;
- Add someone puts a member of the organisation in it, and the menu next to their name makes them a Project administrator or a Member; the cross takes them out of it;
- Providers and models (owners and administrators of the organisation only) opens the catalogue for that project, where you choose which providers and models it may use. See Switching providers and models.
Someone taken out of a project no longer reaches its conversations, including their own. Nothing is deleted.
People and invitations
Section titled “People and invitations”Under People, administrators see in one list everyone in the organisation and the invitations not accepted yet. At the top, All, Members and Pending filter the list, and Search by name or email finds someone in it.
Each person has their role, which administrators change: they make someone an Administrator or a Member, and the … menu of their line removes them from the organisation. Owners also make someone an Owner, change an owner’s role, or step down themselves: an organisation always keeps at least one owner, so the last one has to appoint another before leaving that role. A person removed leaves every project, and no longer reaches the conversations they had there.
Inviting someone
Section titled “Inviting someone”Choose Invite someone: a form opens above the list. Enter the person’s email, choose their role, and tick the projects they start in: a member needs at least one, an administrator works in every project anyway. Choose Create the invitation link: the link takes the form’s place; copy it and send it to them. It is shown only once, works once, and expires after 7 days.
They open the link, create their account (or sign in), say who they are, and join your organisation. Until then, their invitation is in the list, marked Invitation pending, with the day it expires and its projects; you can Revoke it.
A person belongs to one organisation at a time: someone who already has one cannot accept an invitation to another.
Limits
Section titled “Limits”For now, an organisation has no limit of its own on projects, people or models: the usage limits described in Usage limits are the only ones.
